- Design, improve, and maintain internal systems, SOPs, and workflows
- Set up tools, software, and automations to keep operations humming
- Track and improve documentation, filing systems, and knowledge hubs
- Evaluate and optimize performance across tools like TaxDome, Practice Ignition, Pipedrive, Asana, GoHighLevel, Keeper.app, and Zapier
Project & Performance Management
- Lead projects from kickoff to completion—internal, client-facing, and strategic
- Define, track, and report KPIs—starting with a 30-60-90 day plan for the bookkeeping team
- Liaison with our CMO and external consultants to implement our marketing blueprint
- Help implement marketing, tech, and process strategies into repeatable systems
Team Leadership & Support
- Foster a culture of feedback, coaching, and collaboration
- Keep the team engaged, supported, and accountable without micromanaging
- Lead hiring, onboarding, and performance reviews
- Track team response time and workflow capacity
Client Success Management
- Oversee seamless onboarding/offboarding and proactive client communication
- Deliver a standout client experience through thoughtful systems and reliable service
- Maintain operational excellence that drives referrals and rave reviews
RequirementsThis position is for someone who:
- Has 4+ years of experience in operations, systems, and people management
- Has an OBM certification, strongly preferred
- Is highly tech-savvy, analytical, and system-oriented
- Loves documentation, tracking data, and creating efficient workflows
- Is approachable, people-focused, and values strong relationships
- Is comfortable with remote tools (Slack, Zoom, Google Workspace, etc.)
- Can build structure from chaos—not overwhelmed, no drama
- Is a powerhouse of execution, not just ideas
- Thrives under pressure, communicates with clarity, and takes full ownership
- Responds promptly (we value responses within 2 hours during the workday)
- Is NOT trying to build their own business (Freelancers are welcome, provided all work is completed on time and no conflicts of interest exist.)
You’re tech-savvy and have experience with tools like:
- ClickUp, Asana, Monday.com, or TaxDome
- CRMs like GoHighLevel or Pipedrive
- Google Workspace, Keeper.app, Slack, Zoom
- Tools like Zapier, Loom, Vimeo, Calendly, Gusto, Membervault, Squarespace
- Bonus: Familiarity with bookkeeping, tax firm operations, or scaling service-based businesses

- Pay: $45–$55/hour (W2), part-time to start (20–30 hrs/week) with potential to grow into full-time
- PTO: 2 weeks/year (holidays included in the 2 weeks; available after 90 days)
- Retirement: SIMPLE IRA with 1–3% match
- Referral Bonus: Starting at $100 per successful client referral
- Must work 9 am – 1 pm EST hours, M-F
- No health stipend at this time (but may be added later)
Likely First 3 Projects
- Implement and operationalize a Marketing Blueprint developed by a third-party CMO by translating strategic plans into actionable systems and workflows in coordination with the OBM.
- Establish performance clarity by building a 30-60-90 day KPI tracker for the bookkeeper role to set expectations, support growth, and create a replicable onboarding process.
- Streamline internal systems through process improvement and optimization—identify bottlenecks, enhance efficiency, and ensure scalable, well-documented operations.
