Full-TimeThe office of Online and Graduate Services at Southeast Missouri State University is committed to student success. The Online and Graduate Program Specialist reports to the Assistant Director of Online and Graduate Services. This position plays a critical role in the academic success of online and graduate (domestic) students at Southeast. We seek a dynamic, ethical, motivated professional with excellent customer service skills, a passion for learning, and a desire to help online and graduate (domestic) students achieve their academic goals.Primary Responsibilities

  • Serve as a contributing member of the Online and Graduate Services team.
  • Advise students pursuing an online or graduate (domestic students only) degree; support students experiencing cultural, family, personal, or economic issues; help students access appropriate campus and community resources.
  • Advise using face-to-face, email, phone, or web conferencing software.
  • Actively work to recruit new students to online and graduate programs by attending recruitment events and working with prospective students.
  • Onboard new students, which includes an extensive review of previous coursework and experience; recommending potential substitutions, obtaining appropriate approvals, and processing the appropriate paperwork; ensure students complete the online orientation; training students on Southeast processes; discuss goals and strategies to assist online students in selecting an appropriate major that aligns with their goals.
  • Serve as a liaison to specified academic colleges and departments; attend meetings; provide demographic, enrollment, and other data; ensure communication with the academic units.
  • Oversee graduate assistant(s) and student employees to help support the work needed within the position’s assigned programs and areas.
  • Perform enrollment management functions by working with academic departments to ensure course offerings allow for timely graduation and reserve seats in online courses to provide appropriate access to online and graduate courses.
  • Ensure online student retention by monitoring students’ enrollment reports, following the established communication plan to students, and adhering to the flipped advising model.
  • Promote lifelong learning by counseling students progressively into associates, bachelors, masters, certificates, and specialist degrees.
  • Serve as an advocate for online and graduate (domestic) students by working collaboratively with various campus constituencies, including, but not limited to, admissions, academic departments, regional and campus advisors, registrar, and other on-campus student services.
  • Maintain knowledge in distance education, online learning, and academic advising by reviewing research and attending workshops, conferences, and webinars.
  • Use various computer systems to perform the functions of the position, including the Banner system, DegreeWorks, SupportNET, and Microsoft 365; accurately process changes to student records in all systems; create and run reports as needed; ensure data integrity.

Required Qualifications

  • Bachelor’s degree. A degree in counseling or higher education is a plus.
  • Knowledge of academic advising, counseling or closely related area through work experience or an educational setting.
  • Demonstrated exceptional customer service skills.
  • Demonstrated excellent interpersonal and intercultural communication skills, both verbal and written.
  • Strong organizational skills.
  • Strong technical proficiency with a demonstrated ability to work across multiple software platforms simultaneously.
  • Experience with electronic reports and making data-informed decisions.
  • Experience prioritizing and managing multiple tasks.
  • Ability to diffuse emotional or tense situations and offer viable solutions.
