Role Overview
of Operations Associate

The Operations Associate will play a critical role in providing operational support to medical aesthetics clinics. This role will report to the Senior Director Operations & Implementation and will work closely with the broader Annie Aesthetic executive team and leaders at our partner brands to help support the brands’ and organizations‘ growth objectives. This role entails a mix of operational and strategic responsibilities. The individual will be technically strong, action-oriented, diplomatic, and have excellent communication and project management skills. Technology integration experience is preferred, but not required.


Duties and Responsibilities
of Operations Associate

Operational Support

  • Assist with developing and implementing cross-functional project plans, SOP’s, and checklists for day-to-day operations and larger workstreams such as EMR (Zenoti) management, hiring, onboarding, training, inventory management etc.
  • Partner with the COO and Directors in leveraging strategic frameworks and project management techniques to help guide clinics through uncertainty and manage multiple, potentially conflicting priorities.
  • Create weekly agendas for team meetings with Clinic Managers and track clinic performance through KPI reporting.

System Management of Operations Associate

  • Collaborate internally and externally with Zenoti counterparts and in-clinic staff to develop Zenoti workplan and ensure it’s implemented in a timely and efficient manner.
  • Act as a trusted ally and leader for clinic teams on all things related to Zenoti, including but not limited to providing training, day-to-day support, and ensuring the system is optimized for each practice.
  • Stay up-to-date with Zenoti product knowledge and proactively plan future adoption areas to streamline operations and increase revenue.

Vendor Management and Compliance of Operations Associate

  • Interface with third party vendors for day-to-day needs of the clinic and ad-hoc items as required. Vendors include pharma / clinical, marketing, IT, maintenance / building management, etc.
  • Ensure adherence to regulatory requirements in each clinic related to business licenses and permits and clinical compliance and best practices.

Education / Experience of Operations Associate

  • Bachelor’s degree required
  • 1+ year of professional experience, specifically software exposure
  • Big 4 experience a plus

Skills / Abilities of Operations Associate

  • Strong interpersonal skills with proven ability to build trusted relationships across all levels of the organization.
  • Ability to operate in fast-paced, ambiguous environments with a focus on results.
  • Track record of successfully managing multiple work streams and optimizing processes
  • Excellent written and verbal communication skills with the ability to articulate complex concepts clearly and sensitive items with kindness
  • Advanced user of Excel; EMR and/or CRM experience is a plus
  • Technology integration experience is preferred
  • Open to travel as required
