Position Summary:
The IT Business Analyst is a member of the Process and Solution Implementations (PSI) team at Vanderbilt University and is a key individual contributor responsible for supporting information system implementations and providing product support for Academic Affairs. Under the guidance of PSI’s Associate Directors and senior-level team members, this position independently executes assigned product implementation tasks and manages assigned products, serving as a functional expert and providing support. This role reports directly to an Associate Director in PSI and requires learning about the dozens of systems in use across Academic Affairs, acquiring deep expertise in an assigned portfolio of systems, and building relationships with stakeholders in business areas across the University. This position is also expected to provide mentorship and guidance to less experienced team members.
About the Work Unit:
The PSI department organizes and leads information system implementations for Academic Affairs. PSI supports dozens of systems including PeopleSoft Campus Solutions, DocFinity, Slate, Brightspace, Interfolio, Destiny One, Blue, and Event Management System (EMS). In addition to these vendored products, PSI partners with Vanderbilt University Information Technology (VUIT) to build applications and system integrations.
The PSI team’s responsibilities include:
Serving as the Product Owner
Managing the overall project portfolio
Leading individual acquisition and implementation projects
Serving as the campus expert for PSI-managed systems
Configuring newly acquired information systems
Maintaining information systems in production
Coordinating and executing testing
Managing security administration
Providing training during implementation
Key Functions and Expected Performance:
Serves as a member of matrix teams comprised of Academic Affairs leadership and staff to execute projects according to established timelines and priorities. Related responsibilities are dependent on the needs of each project and may include researching open market software solutions, documenting workflows, and training system users. Contributes to project planning, timeline establishment, and milestone tracking.
Actively participates in meetings with stakeholders to understand and document their technology needs, gathering comprehensive requirements and building and maintaining productive stakeholder relationships.
Collaborates with other team members to transform the needs of stakeholders into detailed requirements that can either be configured in vendored systems or developed by VUIT.
Works alongside PSI and Academic Affairs colleagues to design and execute thorough test plans for newly developed or configured information systems, ensuring systems meet stakeholder requirements.
Supports PSI’s customers in their use of these systems and works to diagnose and resolve complex support issues. Provides clear updates to customers through resolution. Develops and delivers effective user training programs for team members.
Creates and maintains comprehensive process and system documentation across multiple projects and provides effective production support.
Effectively prioritizes tasks and projects across multiple initiatives, ensuring alignment with established timelines and priorities.
Meets deadlines and provides timely updates to management.
Conducts in-depth research on software solutions, presents findings, performs data analysis to inform decision-making processes, and identifies potential improvement opportunities.
Supervisory Relationships:
This position does not have supervisory responsibility, this position reports administratively and functionally to an Associate Director, IT.
Education and Certifications:
A bachelor’s degree from an accredited institution of higher education is necessary.
Experience and Skills:
At least two years of experience is required.
At least three years of recent higher education experience is strongly preferred.
Project management experience is preferred.
An interest in technology and learning new processes and systems is preferred.
Ability to work with others in a team setting is necessary.
Excellent communication skills are necessary.
Analytical thinking, problem solving and attention to detail are necessary.
