The MITRE National Security (MNS) Executive Assistant will be responsible for supporting the MNS Senior Vice President – GM. This position will execute all operational and administrative functions of the office while maintaining the highest level of personal and professional standards and conduct. A successful candidate will have demonstrated recent experience providing executive administrative support for one or more executives or senior leadership within a large organization. Location for this position is McLean, VA.

Job Responsibilities:

  • Manage and own the SVP’s calendar, ensuring time between meetings to transition whenever possible; reference the Corporate Calendar to ensure posting of important meetings/events this SVP must attend to avoid meeting conflicts.
  • Arrange for all travel in support of this SVP including preparing itineraries, ensuring all participation processes are followed.
  • Learn the SVP’s goals to prioritize work effectively and efficiently as a strategic partner who can anticipate their requirements.
  • Plan, coordinate, and support a variety of meetings and presentations including arranging for venue, room configuration, catering, preparing agendas and other meeting materials, audio-visual needs, etc.
  • Coordinate logistics for classified meetings with Global Security Staff on room venue and configuration, connectivity to classified locations, both within MITRE and external, verification of appropriate clearance levels of all meeting attendees.
  • Maintain and follow all protocols in the handling of highly sensitive, confidential, and classified information.
  • Engage with senior officials and executives from government, commercial industry, and academia to understand requirements and secure appointment dates/times and coordinating all aspects of visits including preparing for and receiving executive-level visitors.
  • Coordinate with Executive Admin team and the Director, Office of Strategy Management, to support weekly executive and senior leadership meetings including preparation of agenda topics, gathering and delivering, read-ahead materials.
  • Work in a collaborative atmosphere with the entire Executive Admin team, where vacations are coordinated and coverage secured as necessary, and that executive administrative support is provided for all executives during business hours.

Required Qualifications:

  • Bachelor’s degree and a minimum of 2 years of related experience, or an equivalent combination of related education and work experience.
  • Current TS clearance, with ability to obtain a SCI clearance.
  • Demonstrated recent experience supporting one or more executives or equivalent senior leaders.

Preferred Qualifications:

  • High level of poise, tact, and diplomacy in working closely with a diverse group of executives, senior leaders, government officials, high ranking military officers and sponsors.
  • Ability to be in the office 4 days a week and provide occasional off hour support.
  • Demonstrated proficiency with Microsoft Outlook, PowerPoint, Word and Excel, and competency with the latest mobile, desktop and VTC technologies and meeting platforms (Microsoft Teams and Zoom).
  • Strong organization skills with attention to detail.
  • Able to work independently, proactively assess situations and make decisions within broadly defined practices and procedures, often with highly sensitive information.
  • Ability to quickly adapt to schedule changes in this fast-paced environment.
  • Ability to effectively apply strong self-organization and time management skills with considerable emphasis on self-initiation.
  • Superior interpersonal, written, and verbal communication skills.
  • Ability to work collaboratively with others.
