Job description: Purpose: Cross-functional role focused on communication, process, and execution of all operational activities across the company. A steady force in the organization, bringing together all internal and external functions, teams and roles to achieve P&L results and deliver on business plan. Leads operations team, including HR & Admin, Marketing, and Finance functions. Responsible for all HR-related compliance, processes, strategies, and delivery for internal and external employees and clients. Responsible for relationships with internal vendors and suppliers, risk management, process optimization, and other business operations needs. This role is ~80% execution and ~20% management.

1. LMA – Lead, Manage, Accountability

  • Use actional KPI metrics to ensure individual operations team members and the operations team as a whole are meeting performance expectations
  • Responsible for internal operations team (HR & Admin, Marketing) and outsourced finance resource
  • Member of Leadership Team; participate in LT meetings
  • Participate in Team L10 and offer support as needed
  • Provide training and development to operations team members

2. Report and review company metrics

  • Update and review company KPI reports weekly
  • Review company P&L monthly
  • Create new reports or research data as needed for company management
  • Identify potential issues and opportunities; recommend solutions

3. Responsible for HR & Operations projects

  • Monitor changes to laws, policies, or regulations in all locations where company is an employer; ensure compliant policies are in place
  • Maintain and distribute compliant employee handbook(s) and/or documents
  • Research and assess risks for becoming an employer in a new location
  • Complete required audits or reporting, e.g. workers’ comp true-up, annual insurance audit, internal I-9 audit, compliance documentation, etc.
  • Lead business insurance renewal process; provide documentation and research to prepare Owner for final decisions
  • Execute or oversee additional employee needs, e.g. FMLA, extended leave

4. Oversee execution of ongoing HR tasks

  • Act as internal expert on current and changing HR laws, processes, regulations, requirements, security risks, etc.
  • Oversee weekly HR processes including payroll, benefits administration, employee onboarding and offboarding
  • Solve issues related to weekly HR processes; act as backup to execute tasks
  • Oversee HR-related reporting, e.g. year-end W-2s, 1095s, and similar
  • Ensure HR-related inquiries and issues are handled in compliance with laws and regulations, accurately, and in a timely manner

5. Manage client contract requirements

  • Review client-provided contracts for HR & insurance requirements; approve or flag concerns
  • Capture all client-specific requirements (e.g. pre-hire screenings, billing process, audits or reporting, etc); maintain, update and share with team
  • Provide COIs or other policy documents as requested by clients
  • Track client contract and SOW expiration dates; alert team to upcoming dates

6. Lead Benefits Renewal Process

  • Complete required applications or reporting required for renewal process
  • Work with broker on evaluating benefit plans and options; provide recommendations to prepare Owner for final decisions
  • Manage updates to benefit guide(s) and prepare for distribution
  • Schedule and participate in open enrollment meetings
  • Oversee open enrollment process and assist as needed
  • Update onboarding process as required, based on benefits offered

7. Support Hiring for Internal Team

  • Create job descriptions for new internal roles
  • Manage internal hiring process; assist with job distribution, prescreens, interviews, candidate evaluation; keep process moving to meet timelines
  • Oversee onboarding of new internal hires; support managers as needed
  • Update and maintain job descriptions for current internal roles
  • Oversee and support managers with annual reviews or other internal staff evaluation processes
  • Main point of contact for internal HR issues

8. Vendor and Technology Management

  • Act as one of the company Administrators for internal systems
  • Build and maintain relationships with company vendors and suppliers
  • Work with external resources to manage technology and business systems
  • Monitor and manage renewal dates; assist with renewals as needed
  • Evaluate and recommend new vendors as needed

9. Optimize Company Processes

  • Ensure company processes are captured, current, and accessible to the team
  • Look for opportunities to optimize company processes; watch for bottlenecks and barriers; challenge status quo to drive efficiencies
  • Work with Leadership Team members to improve processes on their teams
  • Support leadership, managers, and team members in efforts to streamline and improve processes
  • Make recommendations on how technology can help team be more efficient

10. Remove obstacles and barriers to growth

  • Stay current with industry trends and direction; participate in industry research or events
  • Focus on operational strategy needed to grow the business; keep up with and help execute Visionary’s plans for growth
  • Ensure clear communication across the organization, for both internal and external employees
  • Act as the internal EOS champion; plan EOS meetings; share EOS methodology with new internal hires; ensure team is leveraging EOS tools and best practices

How Success is Measured

  • Company in compliance with all HR, legal, insurance and other requirements as dictated legally or by clients
  • Operations Team tasks completed accurately and within deadlines
  • Payroll, onboarding and other HR processes executed accurately, on time every week
  • Any notifications to employees completed per legal or supplier requirements
  • All items requested by client or third-party received within required time frame
  • Company processes are accurate, current, and followed by all employees
  • Ensure DEI principles are incorporated throughout company processes
  • Internal team is trained and consistently updated on industry and legal changes
  • Positive feedback from employees and staff regarding service they received

Requirements for Consideration

  • Must Haves
  • Associate’s or Bachelor’s degree, or equivalent work experience
  • 5+ years of professional work experience
  • 2+ years of management-level experience, with proven ability to contribute to and lead a team
  • Experience with business operations, including systems, processes, reporting, project management and execution
  • Experience with HR administration, payroll, benefits, legal compliance
  • Excellent interpersonal skills; ability to collaborate and build consensus, make decisions, and lead teams to success
  • Strong written and verbal communication skills across platforms (in person, email, phone, text, and video)
  • Deadline-oriented – works quickly and with a sense of urgency
  • Able to manage and prioritize multiple projects
  • Organized with strong attention to detail, including calculations and reporting
  • Technically proficient; experience working in database and/or payroll systems; advanced knowledge of MS Office suite
  • Bonus Skills
  • HR education and/or certification (e.g. CSP, SHRM, HRCI, etc)
  • Interest in or experience with technology and/or creative industries

Decision Making Authority
This role must regularly exercise independent judgment in the following capacities:

  • Interpret and implement internal HR policies and employment law requirements
  • Apply independent judgment based on internal policies and outside research to answer HR, legal, and compliance questions
  • Make independent decisions to solve issues related to completing payroll or onboarding tasks by evaluating and considering various possible courses of action
  • Evaluate and determine which third-party suppliers best meet the needs of the company; negotiate pricing and terms
  • Review client contracts and make decisions regarding compliance with terms
  • Evaluate company processes and make decisions regarding improvement
  • Input on personnel decisions for this role’s direct reports
  • Determine how to correct or improve performance of operations team members

  • Use a phone or computer to send and receive calls or texts
  • Use a computer to read and respond to emails, type, search database to find and store information, conduct and participate in video meetings
  • Speak and hear; communicate effectively with internal staff, talent, client, vendors, etc. in fluent English; read and write
  • Stand or sit at a desk for up to 8 hours per day in our indoor office (and optionally, their home office); may alternate sitting or standing at will
  • Frequently drive or transport self to and transport self into our office
  • Participate in company in-person meetings or events
