Responsibilities
Executive Assistants for the Department of Business Development (BD), including Mayo Clinic Ventures (MCV) and Corporate Development (Corp Dev) Divisions, provide direct support for executive leaders like the Chief Business Development Officer, enterprise-wide Medical Directors and Department and Division Chairs. The Executive Assistant provides thorough and professional administrative and coordination support to these department executive and administrative leaders reporting to the Chief Administrative Officer, as well as associated meetings, teams, and sub-committees as assigned. The Executive Assistant uses judgment and initiative to coordinate calendars, complete a variety of special projects, as well as prioritizing information. In doing so, the incumbent ensures that the executives maintain a high level of responsiveness to the organization, while maintaining maximum availability. The Executive Assistant works cooperatively with system-wide leadership and support staff, counterparts in outside healthcare and corporate organizations, and peers.
Advanced experience utilizing professional presentation and communication tools, e.g., Microsoft Word, PowerPoint, Visio, Outlook, SharePoint, Copilot and Teams, Adobe, Diligent, Oracle, Zoom, Slido, etc., with a notably keen attention to detail, proofreading, visual document aesthetics, formatting, grammar and punctuation strongly preferred due to regular interactions with high-profile business clients, enterprise executive leaders, Board of Governors and Board of Trustee members.
This position is a hybrid of remote work and onsite expectations in an incredibly fast-paced business professional setting. Must live within driving distance of Rochester, MN campus.
Qualifications
Requires high school diploma or equivalent. Five years previous work in a secretarial field, supporting senior leaders is preferred. Training in secretarial science, administrative assistant, or medical field preferred. A bachelor’s degree preferred.
Demonstrated knowledge of complex organizations, with an emphasis on health care environments is preferred. Requires excellent application of grammar, punctuation, and English usage. Must have computer experience and possess proficiency on technical office equipment and tools (Outlook, Word, Excel, PowerPoint, Teams, Zoom). Must possess high-level skill in organization, clerical aptitude, interpersonal relations, excellent written and oral communication skills, and have the ability to prioritize and handle a variety of tasks simultaneously. Must demonstrate good decision-making and judgment as well as attention to detail and follow-through. Must be able to adapt to a rapidly changing environment. Must have demonstrated ability to manage extremely confidential information, and have the ability to demonstrate tact, diplomacy and a high level of professionalism.
