Position Summary:In close collaboration with the Dean and Director of Graduate Studies, the Associate Director of Admissions, Online Programs is responsible for overseeing the admissions, recruitment, and enrollment enterprise for the online graduate programs in the College of Liberal Arts and Sciences (CLAS). This individual oversees the yield of a diverse group of high-caliber students in accordance with targeted enrollment goals and college and Office of Online Programs (OOP) priorities. In conjunction with Graduate Studies’ Office Leadership, the Associate Director ensures that the target enrollment and revenue streams for these respective programs are achieved. The Associate Director supervises the Assistant Directors of Admission (OOP), in collaboration and in line with the priorities of the Office of Online Programs and the CLAS Office of Graduate Studies. The Associate Director oversees the development of the recruitment strategy and partners with the Assistant Directors, College Communications and Marketing, University Communications and Marketing and other university stakeholders to execute the various activities to reach agreed upon goals. More specifically, in collaboration with the Assistant Directors of Admissions, the Associate Director plans and conducts information sessions, presentations, and on-campus events and represents the programs at various events regionally and nationally. The Associate Director is responsible for generating and assessing prospective candidate leads and building and maintaining relationships throughout the admissions process. The Associate Director of Admissions collaborates with the Technology and Operations staff within the CLAS Office of Graduate Studies to leverage technology to effectively manage inquiry, admissions, and enrollment pipelines and manage data throughout the admissions process. The Associate Director also assists the Graduate Dean, Director, and Director of Marketing and Communication with strategic planning and communications for the Office of Graduate Studies.
Duties and Responsibilities:Recruitment, Admissions and Enrollment Management: Manage recruitment strategies and activities for Graduate Studies and assist with the enrollment of a diverse pool of students into our online graduate programs.

  • Organize, plan, and execute the recruitment strategy, activities and schedule for Graduate Arts and Sciences, which includes an annual strategic review and evaluation of recruitment activities to analyze yield and inform future planning. Travel required. Plan and host online information sessions on a web hosting platform. Occasional evenings required.
  • Plan and host in-person graduate recruitment events at Villanova during normal business hours/days and occasional after hours/evenings.
  • Generate new recruitment opportunities, identifying new prospect pools. Use admissions data to identify feeder schools and other colleges or corporations to organize and attend visits and information sessions.
  • Assist prospective students in making an informed decision as to whether the program is a right fit for their professional goals based on their expert understanding of the Graduate portfolio.
  • In close collaboration with Technology and Operations staff, liaise with faculty, program directors, the Registrar, Financial Aid, and any other necessary offices regarding application deadlines, materials, and student status changes.
  • Monitor timely admissions application activities and assist with decision processing workflows internally, including the quality check process and the deferral in Slate.
  • Ensure a smooth transition of admitted students to student support staff.
  • Manage timely review by admissions committees in online programs.
  • Work with Athletics to assist in recruiting student athletes for online graduate programs.
  • Conduct annual strategic review and evaluation of online recruitment events and activities (e.g. analyze yield) to inform future planning, including utilizing Slate data to support analysis.
  • Attend professional development activities and conferences to broaden our recruitment knowledge and activities and make recommendations to Dean and Director.

Management of Admissions Personnel, Online Programs with Oversight Support for student Services Team: Manages, trains, mentors, and provides support for Assistant Directors of Admissions supporting online programs; provides guidance to student support teams.

  • In accordance with enrollment targets set by the CLAS Graduate Programs Office in conjunction with the Office of Online Programs, mentor and provide guidance to Assistant Directors of Admissions responsible for online programs.
  • Work closely and collaboratively with the Dean, Director, and Assistant Director, Technology and Operations to incorporate Assistant Directors of Admission into Graduate Studies organization and workflow.
  • Collaborate with Assistant Directors of Admission on recruitment activities throughout the year.
  • Provide oversight support for Assistant Directors of Student Services to ensure a positive enrollment experience and reduce enrollment melt.

Marketing & Communications: Take a central, strategic role, in collaboration with University Communication and Marketing, the Dean, Director of Graduate Studies, and Director of Communication and Marketing for Grad CLAS, in conceptualizing and writing new content and communications for the Office of Graduate Studies, particularly with respect to recruitment activities.

  • Provide high-level support to senior leadership to promote the online graduate programs in CLAS to various constituencies, including prospective students, alumni, and external constituencies.
  • Coordinate the development of marketing and communication plans to assist in developing relationships and nurturing students along the application process.
  • Develop and monitor e-mail event campaigns and communications with prospective students in cooperation with other staff in the office.
  • Assist the Director of Marketing and Communication in identifying subjects for photo-shoots for web and printed material.

Strategic Planning:

  • Assist the Graduate Dean and Director with making decisions about general Graduate Studies admissions operations and other relevant initiatives. Participates and/or leads projects related to the goals and objectives of CLAS Graduate Programs as assigned.
  • Perform additional duties and assist with special projects as assigned

Minimum Qualifications:Formal Education: (e.g., degree)

  • Bachelor’s degree

Specific Job Knowledge: (e.g., knowledge of principles and procedures related to field and area)

  • Proficient in computer software applications and higher education software systems such as Microsoft Office, Banner, Slate, Softdocs, and Zoom.
  • Knowledge of the policies of the University and Office with regards to admission, enrollment, academic standing, and graduation.

Work Experience: (type and number of years)

  • Minimum five (5) years of relevant and applicable work experience in admissions, enrollment management, or student affairs.
  • Demonstrated project management experience with ability to manage projects, deadlines, and priorities.
  • Demonstrated experience managing or supervising personnel.
  • Demonstrated experience planning and coordinating events.

Work Skills: (e.g., written and verbal communication skills)

  • Demonstrated experience executing recruitment strategies and tactics.
  • Ability to communicate professionally and efficiently in a fast-paced environment, working independently under general supervision.

  • Ability to quickly learn and stay abreast of detailed curricular and program features in the degree portfolio.

  • High level of comfort with technical processes and facility in learning new systems.
