Job Summary:
The Staff Accountant / Payroll will support the finance department by managing daily accounting tasks. The ideal candidate will have a strong attention to detail, a good understanding of accounting principles, and the ability to work independently. The Staff Accountant will assist in ensuring that the company’s financial operations are accurately recorded and reported.
Key Responsibilities:

  • General Ledger:
  • Maintain and update general ledger accounts.
  • Prepare and post journal entries.
  • Accounts Payable & Receivable:
  • Process and verify invoices.
  • Prepare and process payments.
  • Monitor accounts receivable and follow up on outstanding invoices.
  • Financial Reporting:
  • Assist in the preparation of monthly, quarterly, and annual financial statements.
  • Generate financial reports for management review.
  • Assist in budget preparation and financial planning.
  • Responsible for maintaining customer sales tax exemption certificates, utilizing Avalara Sales Tax platform for sales tax reporting.
  • Reconciliations:
  • Perform bank reconciliations.
  • Reconcile balance sheet accounts and resolve discrepancies.
  • Compliance & Audit:
  • Assist in preparing documentation for external audits.
  • Ensure compliance with company policies and accounting regulations.
  • Maintain and update financial records and documentation.
  • Support & Collaboration:
  • Collaborate with other departments to ensure accurate and timely financial reporting.
  • Provide support to the Executive VP, HR Manager, Accounting Lead, and other team members as needed.
  • Assist with special projects and process improvements.
  • Payroll Processing:
  • Perform the preparation and processing of weekly payroll for all district managers, trainers, and promoters, including reviewing timesheets, verifying hours worked, and calculating wages.
  • Expenses: Print and process expenses for promoters and district managers for weekly payroll.
  • Data Entry: Accurately enter payroll information into the payroll system, ensuring all data is current and accurate.
  • Compliance: Ensure compliance with federal, state, and local payroll, wage, and hour laws and best practices.
  • Employee Support: Address payroll-related inquiries from employees, resolving any issues or discrepancies in a timely manner.
  • Record Maintenance: Maintain accurate and up-to-date payroll records, including employee deductions, benefits, and tax withholdings.
  • Reconciliation: Assist with payroll account reconciliations and audits as needed.
  • 401k: Prepare weekly 401k calculations spreadsheet.
  • Qualifications:
  • Education: Bachelor’s degree in accounting, finance, or a related field.
  • Experience: 1-3 years of accounting experience, preferably in a corporate environment.
  • Experience with financial statement preparation and analysis.
  • Knowledge of tax compliance and reporting.
  • Experience with financial statement preparation and analysis.
  • Experience using ADP Workforce Now is REQUIRED.
  • Skills:
  • Proficiency in accounting software. Experience with Oracle/Netsuite is HIGHLY DESIRED.
  • Strong Excel skills and familiarity with other Microsoft Office applications.
  • Excellent analytical and problem-solving abilities.
  • Strong organizational skills and attention to detail.
  • Ability to work independently and as part of a team.
  • Effective communication skills, both written and verbal.
  • Knowledge of GAAP (Generally Accepted Accounting Principles).
  • Working Conditions:
  • Full-time position.
  • Standard office hours, with occasional overtime as needed.
  • This position is an in-office position.
  • Position Classification and Benefits:
  • Hourly, full time, non-exempt
  • Paid Vacation – 2 weeks (Years 1 through 4); 3 weeks (Years 5-9); 4 weeks (Years 10 and beyond). Paid Personal Leave – 9 days per year.
